Windows 11 Printer Not Working? How to Fix It

Printers occupy a strange position in computing. The hardware is often years old and works perfectly, yet the software around it fails more reliably than almost anything else on a PC. A document sits in the queue and never prints. The printer shows as offline while sitting three feet away with a green light on. Everything worked yesterday and nothing works today.

The frustrating part is that the printer is usually blameless. In the overwhelming majority of cases the problem is on the Windows side, in the queue or the driver, and it is fixable without touching the machine itself.

Start here: the checks that solve it half the time

Before anything technical, rule these out. They are not glamorous, but they account for an embarrassing share of printer problems.

• Is the correct printer selected? Windows 11 defaults to “let Windows manage my default printer”, which quietly switches your default to whatever you used last. If you printed to a PDF or to a printer at another location, that may still be the target. Check the printer name in the print dialog before assuming.
• Is it actually on and connected? Not asleep, not showing an error light, not out of paper, not with an open lid or a jammed sheet. Many printers refuse every job when any tray or cover is open.
• For USB printers, unplug and replug the cable, and try a different port directly on the PC rather than through a hub.
• For wireless printers, confirm the printer is on the same network as your PC. This is the single most common cause of a network printer showing as offline, and it happens whenever a router changes bands or a guest network is involved. Print the printer’s own network configuration page from its menu to see which network it joined.
• Restart both. Power the printer fully off for thirty seconds, restart the PC, and try again. Between them this clears a surprising number of faults.

Fix 1: Clear the print queue and restart the spooler

This is the highest value fix on the page. The Print Spooler is the Windows service that queues documents and feeds them to the printer. When a single job fails badly, it can wedge the whole queue, and every document you send afterwards stacks up behind it and never prints.

First try clearing the queue normally:

1. Go to Settings, Bluetooth and devices, Printers and scanners.
2. Click your printer, then Open print queue.
3. Cancel every job listed, including ones that appear to be deleting.

If jobs refuse to cancel, restart the spooler service:

1. Press Windows + R, type services.msc and press Enter.
2. Scroll to Print Spooler.
3. Right click it and choose Restart.
4. Double click it and confirm Startup type is set to Automatic.

If a job is truly stuck, delete it manually. This requires stopping the spooler first, because the files are locked while it is running:

1. In services.msc, right click Print Spooler and choose Stop.
2. Press Windows + R, paste C:\Windows\System32\spool\PRINTERS and press Enter.
3. Delete everything inside that folder. Do not delete the folder itself.
4. Go back to Services, right click Print Spooler and choose Start.
5. Try printing again.

Fix 2: Bring the printer back online

A printer showing as offline while switched on and connected is a Windows status problem, not a hardware one.

1. Go to Settings, Bluetooth and devices, Printers and scanners and select your printer.
2. Open Printer properties or Open print queue, then the Printer menu.
3. Untick Use Printer Offline if it is ticked.
4. Also untick Pause Printing while you are there, which is a separate setting that produces identical symptoms.

If the offline status returns on its own, the PC is losing contact with the printer intermittently. On a wireless printer, that usually means a weak signal or the printer switching between the 2.4 GHz and 5 GHz bands of the same network. Assigning the printer a static IP address in your router settings is the durable fix, and moving it closer to the router is the quick one.

Fix 3: Run the printer troubleshooter

Windows 11 has a built in tool for this, and unlike some troubleshooters it is genuinely effective for printers because most printer faults are configuration problems it knows how to check.

1. Go to Settings, System, Troubleshoot, Other troubleshooters.
2. Find Printer and click Run.
3. Select the printer that is having the problem and follow the prompts.

It checks the spooler, the driver, the connection and the default printer setting, and applies fixes automatically where it can.

Fix 4: Update, roll back or reinstall the driver

If the printer stopped working immediately after a Windows update, the driver is almost certainly the reason. Windows sometimes replaces a working manufacturer driver with a generic one that does not support the model properly.

To get the correct driver: go to the printer manufacturer’s support site, find your exact model number, and download the full driver package for Windows 11. Manufacturer drivers generally work better than the generic ones Windows installs on its own, particularly for all in one devices where scanning is involved.

To remove and reinstall the printer cleanly:

1. Go to Settings, Bluetooth and devices, Printers and scanners.
2. Click the printer, then Remove.
3. Restart the PC.
4. Click Add device and let Windows find the printer again, or run the manufacturer’s installer.

If the same broken driver keeps reinstalling itself, remove it from the driver store as well: press Windows + R, type printmanagement.msc, open All Drivers, and delete the entry for your printer before reinstalling.

Fix 5: Repair system files

If printing is broken across every application and no driver work helps, damaged system files are worth ruling out. Both of these tools are safe and leave personal files untouched.

A useful fallback while you troubleshoot

Where the licence genuinely comes into it

It matters in one specific situation. Printer drivers are delivered through Windows Update, and installs that are unactivated or activated with a bypass tool frequently end up with updates failing or blocked.
